Documents Checklist for Renting a PG or Flat in Bangalore
Every renter in Bangalore eventually hits the same moment: the room looks good, the owner's ready to hand over the keys, and suddenly you're being asked for documents you didn't bring โ or didn't know you'd need. Here's what to actually carry, what it's for, and where PG and flat requirements differ.
The baseline: ID and address proof
For both a PG and a flat, expect to show at least one government photo ID โ Aadhaar is the default almost everywhere, with a PAN card or passport as backups. Bring the physical card if you can; a photo on your phone works in a pinch but a printed or physical copy speeds things up, especially for a flat's rental agreement paperwork.
If you're not from Karnataka, don't assume your ID needs to match a local address โ it doesn't. What owners actually care about is a working phone number and, often, an emergency contact who isn't you.
What's specific to a PG
PGs mostly run on trust and a quick verification, not paperwork-heavy contracts. Expect to fill in:
- A simple in-house registration form โ name, ID number, phone, employer or college, emergency contact
- A photo, sometimes taken on the spot
- For some PGs, especially women-only ones, a letter or ID from your employer or institution confirming you're actually employed or enrolled where you say you are
Police verification is common for PGs, particularly in areas with active local enforcement โ the PG itself usually handles the paperwork, but you'll need to provide your ID and photo for it. This isn't something to be alarmed by; it's standard practice, not a red flag on either side.
What's specific to a flat
A flat rental comes with more paperwork because there's an actual legal agreement involved:
- A rental agreement โ get it in writing regardless of what the landlord says, and check whether it's registered (see below)
- Proof of employment or income, sometimes requested for longer leases โ an offer letter or a recent payslip is usually enough
- Passport-size photographs, occasionally asked for alongside the agreement
- A security deposit receipt โ always insist on this, ideally with the amount and date written down, even if it's just a message thread
Registered vs unregistered agreements โ does it matter?
An unregistered agreement is common for shorter tenures and isn't illegal, but it carries less legal weight if a dispute ever comes up. A registered agreement costs a small stamp duty and registration fee, but it's real evidence of the terms you agreed to โ deposit amount, rent, notice period โ if anything goes sideways later. For anything beyond a few months, it's worth asking the landlord directly whether they're open to registering it; most reasonable landlords are.
Company or college ID โ when it helps
Working professionals: your company ID (or an offer letter, if you're new) is often the fastest way to build trust with an owner who's never met you, especially for PGs that don't do a heavy verification process. Students: a college ID or admission letter does the same job. Neither is strictly required everywhere, but carrying one makes the whole process faster.
